Excel File Conversion

Some users may have sales stored as individual Excel spreadsheets. There is a process available in DataLog that will convert them into DataLog sale files, thereby eliminating duplication of data entry. Follow the steps for the conversion as outlined below, or watch the video tutorial.

Open the DataLog-->Conversion Tools-->Convert Excel File.

Three important choices were made in the example above: the file to be converted was selected, a destination folder for the new file was selected, and a Data Map was selected.

DATA MAP OPTIONS

The first time the dialogue box opens the Data Map list box will be empty. To create a map, click on the adjacent drop-down arrow for Data Map Options. There are three options as seen below: Add, Modify, and Delete. Choose Add.

The next window will look like this:

Above the grid the choice was made to skip the first row of the file to be converted because it contains headers. The other choice assigns alphabetic labels automatically.

There are three columns of information in the window. The first two identify the column head with the corresponding data from the Excel file that will be converted. Notice that the third column is blank. By clicking in each cell of the third column, the user assigns corresponding fields found in the DataLog. In the image below the drop-down list is visible in the cell for Sale Price. The cells are typing-intuitive; skip the drop-down and begin to type the name of the field as you prefer. If there are several rows of data in the Excel file, click through them by using the Show Prev/Next Row buttons. This feature shows whether the data cells are matching up and are labeled correctly.

Once all of the cells in the third column have the correct field identified the "map" must be saved. Give the map a meaningful name, perhaps by county and year. It's up to the user. The map can be modified, deleted, or used  again. The user can create a variety of maps based on need and preferences.

NOTE REGARDING SALE TEMPLATES

A sale template may be selected as desired. Sale templates created by the user will be available as selections in the drop-down window seen at the start of the conversion process.

CONVERSION

Click "Start" to initiate the conversion. A confirmation window (see below) pops up to allow a quick check for mapping accuracy. Choose to view Show All, Two-Page, or One Page sale sheet. There is a scroll bar on the right margin of the window that allows review of the entire form.

If data are mapping correctly click the "Ok-Convert" button.

A message window appears...

confirming successful conversion. The destination folder will now contain a new sale filled with the Excel data. The conversion is complete at this point.
