PRINT THIS DOCUMENT - SETTING UP AND USING THE INTERNET DATALOG (PDF)
Click here to go Back to the Main Help Page.
The first step in setting up your internet DataLog is to run the DataLog (make sure it is version 1.5.1), click on your My Sales folder to select it, and then click on the Folders menu and select 'Create Online Folder'.

Once you click on 'Create Online Folder', a screen will come up called 'Edit Online Folder Configuration'. This is where you will enter the Server name, the Database name, and the User Name that you get from AgWare's support team. Once that information is filled in, click on the Test Database button to test the connection.

Once you click on the 'Test Database' button, a new screen will come up called 'Connect to Server'. This is where you will enter the Password that AgWare's support team gave you. Once you enter this Password, it will prompt you to change the current password to something else of your own.

Once you have entered your own password, you should get a confirmation that the connection was successfully established.

Click on OK and then click on OK again on the Edit Online Folder Configuration screen to get back to the DataLog screen.
* Each time you open the DataLog and try to access your online folder, you will have to sign in with your user name and password.
If you ever want to change your password for your online folder, simply go to the menu Folders > Online Folder Properties and click on the 'Change Password' button.

Type in your User Name, Old Password and then the New Password. Then click on 'OK' to save your changes.

You should now have a new folder under your My Sales folder called 'New Online Folder' with an icon that looks like a blue planet.

To rename this folder to something that you recognize, click on the folder and then click on the menu Folders > Rename Folder.

Type in the new name and then press the Enter key to save the new name. When you click on the online folder, you will notice that the only button along the top of the sales grid that is different from your other sale folders is the 'Sync Folder' button at the far right. There are three options under the 'Sync Folder' option: Sync Folder Now, View Last Sync Results, and Folder Properties.

The first option is 'Sync Folder Now'. This option will bring all of the sales from the server that you are connected to into your new online folder. You should see the Sync Results in the bottom half of your screen - 'online folder Sync Results'. In this example you can see that 29 sales were downloaded, no sales were posted, and no sales were deleted.

When you click on one of the sales that was downloaded, you will notice that there is a new button above the sale sheet called 'Undelete Sale'. This is a sort of undo button if you decide after you delete a sale that you really did not want to delete it. In the example below, the sale Larson to Stolle was deleted (notice the 'Deleted' icon in the sales grid at the top left of the image). It is still visible in the grid until you sync the folder again. If you decide that you did not want to delete that sale, click on the 'Undelete Sale' button and it will be restored back to Posted. Once you sync the folder, the Undelete Sale option will not be available and the sale will be gone.

If you want to view the sync results from your last sync, click on Sync Folder > View Last Sync Results. The results from your last sync will appear in the bottom half of your screen where the sale sheet usually is visible.

The 'Online Folder Properties' option under the Sync Folder button is the 'Edit Online Folder Configuration' screen that we used earlier to set up the connection. You use this option if you want to change your password or connection.

If you find that there are several sales that you want to pull out of the online folder and put into a folder on your own computer, you simply use the copy and paste method to move the sales. The first step is to select the sales you want from the online folder. Use the Control (Ctrl) key to select random sales. Once your sales are selected, click on the button Transfer Sales > Copy Sales to Folder.

The screen that comes up asks you to select the folder you want to copy the selected sales to. In this example, we have a folder called 'Sales from Online Folder' that we will paste these sales into. Click on the folder name and then click on OK.

Now when I click on the folder called 'Sales from Online Folder' at the top left of my screen, four sales appear. If someone deletes these sales from the online folder, you will still have a copy of them in your folder 'Sales from Online Folder'.

If you have more than one online folder that you want to access, you can create additional online folders. To create a new online folder, use the same setup process as outlined at the beginning of this documentation.
Click on your My Sales folder to select it and then click on the Folders menu and select 'Create Online Folder' or you can right click on the My Sales folder and select 'Create Online Folder'.

The 'Edit Online Folder Configuration' screen will come up asking you to fill in the Server Name, Database Name, and User Name. Use the information that was provided to you from AgWare.

Click on OK and then click on OK again on the 'Edit Online Folder Configuration' screen to get back to the DataLog screen.
* Each time you open the DataLog and try to access your online folder, you will have to sign in with your user name and password. Each online folder will have its own password.
You now have two online folders to use.

If you want to rename an online folder, you can do that one of two ways: right click on the folder and select 'Rename Folder' or you can select the online folder, go to the Folders menu, and select 'Rename Folder'.

If you want to delete an online folder that you created, you can do that one of two ways: right click on the folder and select 'Delete Folder' or you can select the online folder, go to the Folders menu, and select 'Delete Folder'.

1. You cannot post/sync a Private sale to an online folder. In order to post it to the online folder, you have to edit the sale, uncheck the 'Private' check box, save the sale, and then try to repost the sale.

2. Your sales must be validated before they will post/sync to the online folder.
